Privacy Policy
Effective September 25, 2026.
This policy covers two different relationships: realtors who subscribe to ListingHQ, and people who use a realtor's website. Read the section that applies to you.
1. If you subscribe to ListingHQ
We collect your name, email, phone number, brokerage name and address, identity details you give us to set up your site, your login details (passwords are stored hashed), and billing identifiers. We do not receive or store payment card numbers.
We use this to run your account, invoice you, tell you about the Service, and support you. We send you marketing only with your consent, and you can withdraw it any time.
2. If you used a realtor's website built on ListingHQ
You probably have no relationship with us. The realtor whose site you used decides what happens to your enquiry; under privacy law they are the controller and we are their processor. We run the technology for them.
When you submit a form we collect your name, email, phone number, your message (which may include property or financial details you choose to share), the address or area you asked about, and information about how you used the site, such as pages and listings you viewed and where you came from. A home valuation request includes the property details you enter.
That information is stored so the realtor can follow up, and appears in their private dashboard. We do not sell it and we do not share it with any other realtor.
To see, correct or delete your information, contact the realtor whose site you used; they are the ones who can act on it. If you cannot reach them, contact us and we will help where we can.
3. This website (listinghq.ca)
This site uses Google Analytics and Vercel Analytics and Speed Insights to understand traffic and performance. These services can receive information such as pages viewed, approximate location, device details and network identifiers. The site does not collect account credentials or payment cards.
When you use our contact form we store your name, email, chosen topic, message and where you came from, so we can answer you. We do not sell contact details or use them to train AI systems.
4. What we do not collect
We do not knowingly collect health information, biometric data or government ID numbers. Do not put passwords, banking details or ID numbers in a contact form. MLS® or CRM logins are never requested through a website form.
5. Where information is stored: the United States
Personal information handled by ListingHQ is stored and processed in the United States, not Canada. Because of that, it may be accessible to US authorities under US law.
| Provider | What it does | Where |
|---|---|---|
| Supabase (on Amazon Web Services) | Primary database: accounts, site content, leads | Oregon, USA |
| Vercel | Application hosting, delivery and logs | United States |
| Resend | Sends lead notifications and transactional email | United States |
| Stripe | Subscription billing (your own payment details, not visitors' information) | United States / Ireland |
| Anthropic and Google | AI-assisted drafting of site content (site copy, not visitor personal information) | United States |
| Google Analytics | Website analytics, only where a customer or ListingHQ has configured it | United States |
| Mailchimp / Klaviyo / your CRM | Only if a customer connects their own account | United States |
All customers share one database. Each record carries a tenant identifier that is checked on every query, with row-level security in the database as a second layer. Customers cannot see each other's data.
We disclose this so realtors and visitors can make an informed choice. Where the law requires it, we rely on contracts and the safeguards described in the Data Processing Terms.
6. How long we keep it
Subscriber accounts and the leads their sites collected are kept while the subscription is active and for 60 days after it ends (see the Terms of Service, section 7), then deleted from active systems, subject to legal and tax retention and normal backup ageing. Contact-form enquiries to ListingHQ are reviewed for deletion after 24 months of inactivity.
7. Cookies and analytics
This site and customer sites use cookies and similar technology for essential function and analytics. Customer sites load Google Analytics only if the customer has set up a measurement ID, and load advertising tools only if the customer has configured them. You can block cookies in your browser settings; some site features may then work less well.
8. Your choices and rights
- Unsubscribe from any commercial email with the link in it. Every commercial message we send has one.
- Ask to access or correct personal information we hold about you, withdraw optional consent, or request deletion. We may need to verify who you are. Requests about a realtor's lead record are referred to that realtor.
- If you are unhappy with how we handled your information, you can complain to the Office of the Privacy Commissioner of Canada.
9. Changes and contact
We give at least 30 days' notice by email to subscribers before material changes take effect, and post the effective date here. Effective September 25, 2026. Privacy questions: Alexander Mackenzie, carrying on business as ListingHQ, through the contact form at listinghq.ca/contact.
